General

The Executive team, made up of the Officers and Directors, meet four times a year to check in as a full group, review our progress together, and make some strategic decisions.

Notes

Amyrlin Seat

It has come to light that the rules around unique names has been making citizenship difficult for many new members. The current rule states that a member must have a "unique name" and that last names can be shared between individuals with family relationships. The exec team has agree that requiring both a unique first AND last name has been an excessive interpretation of this rule. Going forward, there may be members with the same first name as long as the last name is unique. The rules against using names from the books will remain as currently stated. The current message our Mayor sends to new citizen applicants regarding names and avatars will be made into an official template for use by all future Mayors.

Keeper

We are in the final stages of preparing the questions for the Membership Survey and will hopefully be making it available in the near future. Our Patreon team has been working on ideas and a Patreon-specific logo is in the works. We hope to be able to distribute the first round of Patreon rewards in the coming months.

Cordamora

Congratulations again to our new Head Moderator, Leira Galene! One of the first items up for the new moderation team will be working to clarify definitions such as harassment for moderation. We will also be codifying the Content Warning Graphic that was published earlier in this year and it will be added to the Membership Manual. At this time a method for enforcing the content warnings has not been determined, but use is strongly encouraged.

We are working on making some changes to the Mediation process to make it more user friendly with additional options for how to approach conflict resolution with other Tower members. More details to come once they're solidified.

We'd also like to take a moment to acknowledge the change made from the Community Council to The Hall of the Tower was completed. A subcommittee tasked primarily with the movement of members through the ranks has been maintained and is made up solely of Tower Sworn members. Thank you everyone who contributed their thoughts so that we could make this decision and change.

Events and Conferences

Anni registration has been strong. We look forward to seeing you all in October. There is still time to register and pay if you'd like to attend. Our Spring Fling event for 2025 will be announced very soon so keep your eyes open for your chance to join us next year.

We also want to announce that for the first time in far too long there will be a South Pacific Event. This will be more flexible than the North American Spring Fling events in an attempt to allow the maximum number of South Pacific members to join in. More details are available in the Events forums.

Marketing

We are aware that some groups are unsatisfied with their membership group logos. If your group would like a different logo, please reach out to marketing@tarvalon.net with specific ideas or templates to start the process to get a new logo. While we are still working on getting a new logo to purchase a replacement event banner for the Tower Initiates using Tower funds, membership groups may be asked to help cover the cost of a new banner if they change logos.

Online Events

A new section will be created in the City of Tar Valon section of the forums where members will be able to promote their websites, etsy stores, and the like. There will be restrictions including the requirement for any transactions to occur off-site (i.e., private email or website, not forum, PMs, or Tower Discord). More information on the rules will be posted with the creation of the new forum section.

Additionally, we would like to make it clear that any guilds, departments, or membership groups who would like to participate in swaps or gift exchanges that these activities are permitted and may be planned and organized in official spaces. The restrictions only extend to sale of goods for money or similar compensation.

Outreach

The 2024 Robert Jordan Memorial Scholarships have been awarded and funds distributed to the winners. The winners have been announced in Site Announcement.

We are working on including a "memorial run" in memory of members who have passed for our next Anni event. We hope to do this regularly, but will be relying on members and attendees to help with planning and organizing.

Work in ongoing for the 2024 Tower Maintenance fundraiser. More details will be coming as available with the theme and prize details.

Research and Records

Updates to the library for merits are mostly complete.

Also noticed since the meeting, there has been a bot storm associated with the library that has resulted in some difficulties in accessing the pages. Technology is working on it.

Technology

The Discord server structure changes which were shared after the previous executive meeting will be implemented in August. Also during August we will be undergoing some server updates. Keep an eye out for announcements from Qam for the exact dates and length of any downtime.

For those members who are involved with jobs that need member forum access changes, a reminder from Tech to please be sure to use the appropriate Water Cooler threads and read the first post for the preferred format for your requests.
